This guide will walk you through different ways to create an open shift, giving you the flexibility to choose the method that works best for you.
Steps to create Open Shift
Go to the Shift Schedule page
From the side navigation menu, click Shift Schedule. This is where you can view, create, and manage all shifts, including Open Shifts.
Choose how to create the Open Shift
You have two main ways to create an Open Shift:
Option a – Using the + icon on a specific date
Scroll to the Open Shift row in the calendar view > Under the desired date > Click the + icon.
When to use: If you already know the exact date and outlet for the shift.
Limitations: During the creation process, the date is fixed and can’t be changed until after the shift is created — but you can edit it later (by clicking the Edit button after creation).
Outlet selection depends on how your shift calendar view table is grouped:
If your shift calendar view is grouped based on Outlet, there’s no need to pick the outlet since the dropdown will follow the same selection by default.
By default, the outlet selection in the dropdown will follow the same outlet name as the calendar view table.
If your shift calendar view is not grouped by any outlet (i.e. No Outlet), you may select “No Outlet” in the dropdown.
Under the “No Outlet” > Create the Open Shift by clicking the + icon as shown:
✏️Note: If ‘No Outlet’ is selected, it indicates that the employee does not require a physical presence at the workplace. This option is typically used for employees who are working remotely but are still assigned to shift work.
💡 Scenario: A customer support agent working remotely on rotating shift schedules can be assigned to ‘No Outlet’, since their duties do not require them to be physically present at any outlet location.
Option b – Using the + Create Open Shift button at the top
When to use: This option is ideal if you have many outlets and don’t wish to scroll through the calendar to set up one by one.
It allows you to freely choose the date and even set “No Outlet” if the shift isn’t tied to a specific location which may not require the employee’s physical presence
Fill in the Open Shift details
Regardless of which creation method you choose, the setup form will be the same. You’ll need to complete the following fields:
Outlet – Select the outlet where this shift will apply.
No. of Headcount – Specify how many employees are needed for this shift.
Shift Template (Optional) – Use a pre-created template to save time.
Shift Type – Choose between Working Day, Off Day, or Rest Day.
Note for Non-Singapore Users:
The terms Rest Day and Off Day follow Singapore’s employment regulations as outlined in the Singapore Employment Act. If your company operates outside of Singapore, these settings may not apply to your local labour requirements. You can still configure shifts and time off as needed, but feel free to disregard this section if it’s not relevant to your region.
Position / Sub-position – Define the role required for this shift.
Under Positions, you can select specific positions eligible for the open shift, or choose all positions from the dropdown. However, these will only appear in the employees’ view after the shift is published and only for those assigned to the specific outlet.
💡 Scenario: An admin creates an open shift for Office SG and assigns it to all positions, then publishes it. The positions include Executive and Manager. If Manager A is not assigned to Office SG, they will not see the published open shift.
Date – Select the shift date.
Shift Start / End Time – Set the shift’s start and finish times.
Break Settings – Define the break duration, timing, and whether it is paid or unpaid.
Colour Tag – Assign a colour for easy visual identification.
Remarks (Optional) – Add any special notes about the shift. Please note that this remark will also be visible to the employee.
Publish Toggle –
On – The shift becomes visible to eligible employees, allowing them to claim for it.
Off – Only you (the Admin) can see it. You might choose this if you want to review or edit the shift before making it public.
Click Create
Once you’ve reviewed all the details, click Create to finalise the shift.
