Offboarding Employees

A guide to help you offboard employees step by step, ensuring their exit process is smooth and compliant.

Just like the onboarding process, the offboarding process is one of the essential parts of an employee’s employment journey. This phase also marks the official end of an employee’s working period in one company.

With Gutsy, we simplify the offboarding process while securely retaining employment-related documents in the system for future reference.

This article contains:


A. How to offboard an employee

There are two methods to open the offboarding page:

a) Method 1:

  1. Go to the side navigation menu and select Employees > Click the three dots (⋮) > Click Offboard

b) Method 2:

  1. Go to the side navigation menu and select Employees > click the three dots (⋮) next to the employee’s name > select the eye icon to open the employee’s profile.

  2. On the profile page, click the three dots (⋮) on the right side > select Offboard Employee.

  3. You will be directed to the Offboard Details page.

    • Complete the following:

    a. Formal Termination Date

    b. Termination Reason – select from the dropdown, or click Add New if the reason is not listed.

    c. Elaboration – add any additional details (optional).

    • (Optional) Upload related documents under the Document Upload section. Click +More Document and fill in:

    a. Document – upload from your device (required, max 10 MB).

    b. Document Category – select from the dropdown, or click Add New Category to create one.

    c. Description – provide a short description of the document.

    d. Obtained Date – enter the date the document was obtained (optional).

    e. Expiry Date – enter the document’s expiry date (optional).

    f. +More Document – click if you wish to upload additional documents.

    • Send Email

      • Choose whether to send the offboarding email to the employee immediately.

      • You can also preview the message before sending.

  4. Click Submit to finalise the offboarding process.


B. How to remove or edit an Offboarding status

  1. Head to Employees > click the eye button on the employee’s profile

  2. On top of the profile, click Edit Off-board Details or Remove Off-board

    a. If you click Edit Offboard Details, you will be directed to this page to adjust the date, termination reason, as well as elaboration

    Once done, click Submit and the Offboarding Details will be adjusted accordingly.

    b. If you click Remove Offboard, the employee’s resignation status will be cleared, and their status will revert to Active.
