An overview of each report to help you understand and use them effectively.

This guide will help you understand and use the Reports feature in Gutsy to gather and download essential information from various modules.

Reports allow you to consolidate key data, apply filters, and select specific date ranges based on your needs — helping you make informed decisions quickly.


Accessing the Reports Page

From the side navigation menu on the left > Select Reports.


Available Reports by Module

1. Employees

General Employee Report (Excel)

  • Includes employee profile information such as personal details, employment status, and contact information.

💡Scenario: Admin A, acting as the HR Manager, generates this report to verify employee records in preparation for an upcoming audit. This ensures that all employee data is accurate, up to date, and compliant with regulatory requirements. By reviewing the report beforehand, Admin A can identify and correct any discrepancies, helping the company stay audit-ready and avoid compliance issues.

Best Practice Tip: Run this report on a monthly or quarterly basis to proactively maintain accurate employee records, rather than waiting until an audit is scheduled. This helps reduce last-minute corrections and ensures continuous compliance.


2. SG Payroll (For Singapore Users)

  1. Payslip (Excel)

    • Shows salary details and pay items for a selected payslip period.

    • Can also be downloaded from Payroll > All Payroll.

    • 💡Example: Admin downloads this report to confirm bonus amounts before payroll submission.

  2. CPF Payment Advice (PDF)

    • Displays total CPF, SHG, and SDL contributions based on generated CPF files.

    • Access via Payroll > Payment Files > CPF.

    • Tip: Generate the CPF file first before downloading.

    • 💡Example: Admin uses this to prepare the monthly CPF submission.

  3. Salary (YTD) (Excel)

    • Consolidates payslip details from January to December per employee.

    • Tip: Ensure payslips are generated before downloading.

    • 💡Example: Admin checks total yearly pay for each staff member to prepare the annual report.

  4. Payroll Variance (Excel)

    • Compares payroll amounts between two periods, highlighting differences.

    • 💡Example: Admin reviews this report after noticing an unusual spike in payroll costs.

  5. CPF (YTD) (Excel)

    • Shows year-to-date CPF contributions per employee.

    • 💡Example: Admin verifies if all CPF contributions match the CPF Board records.

  6. Custom Payroll Reports

    • Create a customised payroll report by selecting the fields you need, saving the template in the system, and downloading it anytime. This allows you to focus only on payroll data relevant to your requirements.

    • 💡Example: Admin selects specific payroll fields (basic salary and total overtime pay) to create a monthly summary for management.


3. Leaves (For Singapore Users)

  • Leaves (Excel) – Contains leave records that can be filtered by company, department, position, or employment type.

💡Scenario: The Admin downloads this report to see which employees will be on leave next month, helping to plan shift coverage in advance.

Best Practice Tip: Review leave reports monthly to anticipate staffing gaps and ensure smooth workforce planning.


4. Attendances

  • Attendance (Excel) – Contains detailed logs including clock-in/out times, expected hours, and overtime.

💡Scenario: The Admin downloads this report to identify employees who clocked in late more than twice in the past week. This helps track attendance patterns, address punctuality issues, and maintain accurate records for payroll and performance management.

Best Practice Tip: Review attendance reports on a weekly basis to quickly spot trends, address issues early, and ensure payroll accuracy.


5. Shifts

  • Shift (Excel) – Displays shift assignments, which can be filtered by outlet, department, position, or employment type.

💡Scenario: The Admin reviews next week’s shifts to ensure each outlet has enough staff during peak hours.

Best Practice Tip: Review shift reports weekly to confirm adequate coverage, balance workloads, and minimise last-minute scheduling issues.
