Close Open Shift

A guide to help you close an open shift and stop employees from claiming it.

Closing an Open Shift allows an Admin to stop employees from claiming or selecting the shift; either immediately or at a scheduled date/time. This guide will tell you how to close the open shift

You can use this feature:

  • Close now – Ideal when the shift is fully claimed or when staffing needs change suddenly.

  • Close later (scheduled) – Useful for planned closures, giving employees time to claim the shift while automating the closure process.


💡 Scenarios

When to use Close Now or Close Later:

Close now

  • The shift has reached full capacity.

  • Manpower is no longer required (e.g., event cancellation).

Close later

  • You want to keep the shift open until a deadline (e.g., Friday 5 PM) for fair claiming opportunities.

  • You want to avoid forgetting to manually close the shift.


How to Close an Open Shift

  1. Navigate to the Shift Schedule

    Go to Side NavigationShift Schedule.

  2. Select the Open Shift

    Find and click the relevant Open Shift in the calendar view table.

  3. Click ‘Close Open Shift’

This will open a prompt with two options:

  • Close Now

  • Close on a Specific Date/Time

a. If Closing Now

  1. Select Close Now.

  2. Click Submit.

  3. The Open Shift will be removed from the employee view immediately.

  • Employees who have claimed the shift cannot cancel it from their side.

  • You can see the closure date and time in the shift details.

✏️ Tip: If you closed the shift by mistake, you can re-open it by selecting Re-Open in the same shift view. The shift will reappear in the employee view.

b. If Closing on a Specific Date/Time

  1. Select Close on a Specific Date/Time.

  2. Choose your desired date and time from the prompt.

  3. Click Submit.

  4. The scheduled closure date/time will be displayed in the Open Shift details.

  5. Employees will still see the shift until the set closure date/time.


Key Notes

  • Employees are unable to cancel their claimed shift after the shift is closed

  • Admin can re-open a closed shift for edits if changes are needed
