As your organisation grows, you may need to transfer an employee from one company to another within the same Gutsy account. Rather than creating a brand-new employee profile from scratch, Gutsy allows you to offboard the employee from their current company and onboard them to the new one, with their existing profile information automatically carried over where applicable.
This guide will walk you through the complete transfer process.
Before You Begin
Before transferring an employee, please note the following:
It is recommended that the employee is off-boarded from their current company before being transferred.
The new company must belong to the same Gutsy account.
During onboarding, Gutsy will detect matching employee records based on details such as name, email address, identity number, or phone number, allowing you to link the existing profile instead of creating a duplicate.
Step 1: Offboard the Employee from the Current Company
Go to Employees > All Employees.
Locate the employee you wish to transfer.
Click the three-dot icon beside the employee's name and select Offboard.
Complete the offboarding process by following the steps in the Offboard Employee guide.
Step 2: Onboard the Employee to the New Company
Once the employee has been offboarded:
Head to Employees > All Employees.
Click Onboard Employee > Single Onboard.
Select the new company that the employee will be joining.
Enter the employee's initial required information, either through the Onboard Employee flow, or the Employee Self Onboard flow.
‼️Important: Ensure you select the correct company before proceeding.
Step 3: Link the Existing Employee Profile
If Gutsy detects that the employee already exists based on matching information such as:
Name
Email address
Identity number
Phone number
a pop-up message will appear informing you that an existing employee profile has been found.
Since the employee is being onboarded into a different company within the same account, the system will link the existing profile instead of creating a new one.
Step 4: Review the Prefilled Information
After selecting the existing employee profile:
The employee's previous information will be automatically prefilled.
Review all information carefully.
Update any details that are no longer accurate before continuing.
This helps save time and avoids re-entering information manually.
Step 5: Choose the Invitation Option
Towards the end of the onboarding process, you will be asked to choose an Invitation Option for the employee.
Select the option that best suits your onboarding process, then complete the onboarding.
Step 6: Verify the Employee
Once the onboarding is complete:
Return to Employees > All Employees.
Select the new company if necessary.
Confirm that the employee now appears under the new company's employee list.
The employee has now been successfully transferred to the new company.
