Single Onboard Guide

Learn how to onboard employees individually using the Single Onboard method.

In this guide, we will show you how to onboard employees using the Single Onboard method.

This method is ideal if you wish to onboard a small number of employees individually.

💡Scenario

Your company has just hired five new employees. Since this is a small number, you can use the Single Onboard method to onboard them individually.


Steps for Single Onboard

A. Navigate to the Employees Module

Go to the side navigation menu and select Employees.

B. Select the Onboard Employee Option

  1. On the top-right of the page, click Onboard Employee.

  2. Choose Single onboard & re-onboard.

✏️Note: Re-onboard option allows you to onboard an employee again after they have resigned and their status is marked as “Resigned”. Follow this guide for detailed steps on how to re-onboard an employee.

C. Fill Out the Onboarding Form

Once you are directed to the Onboard Employee page:

1. Select Company

  • Choose the company that the new employee is hired under.

    ⚠️ Note: You cannot change this later once the employee has been onboarded.

2. Select Modules

  • Choose the modules the employee can access after onboarding (e.g. Attendance, Payroll, etc.).

3. Select Flow

You have two options for completing the onboarding form:

Method 1: Onboard Employee (Admin Fills the Form)

  1. As an Admin, you will complete all required details for the employee’s profile.

  2. You can display only mandatory fields (based on selected modules) to save time.

  3. These details can always be edited after onboarding. In addition, non-mandatory fields can also be added later on.

  4. Invitation Options at the end:

a. Email account setup instructions to employee

  • Requires the employee’s email address.

  • The employee receives an automated email with their username and password setup link.

b. I will set the employee account by myself

  • Admin creates the username and password for the employee.

  • Employees will use these credentials to log in when they receive the automated welcome email.

c. Disable employee account completely

  • The employee does not get login access.

  • Their account is managed entirely by Admin.

✏️Note: You’ll see that employees who have already been onboarded will show the status Active, as seen in the example below.

Method 2: Employee Self-Onboard

  1. Admin only fills in Employment and Pay Scheme details.

  2. The employee completes their personal details.

  3. You can display only mandatory fields (based on selected modules) to save time.

    At the End:

  4. Click Submit.

  5. The employee will receive an email link to continue completing their personal details.

⚠️ Note: An email address is required for Method 2, as the onboarding link will be sent via email. The employee’s status will remain as “Onboarding” until they finish the process.


D. View Onboarded Employees

  • Once onboarding is complete, the employee’s profile will appear under the Employees Module.
