Checking Employees' Leave Entitlements

Learn the different ways to view and manage employees' leave entitlements.

Gutsy provides several ways for admins to review leave balances, entitlement assignments, and adjustment history, whether for an individual employee or across the entire organisation.

This guide will walk you through the different methods available to check employees' leave entitlements.


Ways to Check Employees' Leave Entitlements

You can review employees' leave entitlements using the following methods:

Method 1: Employee Profile (Entitlement & Leave Summary) – Best for checking an individual employee.

Method 2: Leave Type – View all employees assigned to a specific leave type or scheme.

Method 3: Leave Type Report – Generate an Excel report containing leave entitlement information for multiple employees.


Method 1: Check an Employee's Leave Entitlements

This method is ideal when you want to review the leave entitlement of a specific employee.

Access the Employee Profile

  1. Head to Employees > All Employees.

  2. Select the employee, or click the three-dot icon and choose View.

  3. Open the Entitlement tab.

Under the Leave Entitlement section, you will be able to view:

a. Base entitlement

b. Leave adjustments

c. Leave utilised

d. Remaining leave balance

e. Carry forward from the previous year

Click the Eye icon beside a leave type to view its detailed information.


a. Base Entitlement

The Base Entitlement section shows the original leave entitlement assigned to the employee.

You can also view (a) Start Date, (b) Expiry Date, (c) Total entitlement allocated

Under the (d) Actions menu, the following options are available:

i. Edit: Use Edit to update an employee's individual base entitlement.

For example, if an employee's entitlement changes from 12 days to 13 days, you can manually update it here.

After editing, a question mark icon will appear beside the entitlement value. Hover over it to view the original entitlement.

ii. Recalculate: Use Recalculate when the leave entitlement has been updated in the leave type settings.

This will refresh the employee's entitlement based on the latest leave type configuration.

❗ Note: Changes made to a leave type do not automatically update existing employee entitlements.

iii. History

The History section displays all previous changes made to the employee's base entitlement, allowing you to keep track of historical updates.


b. Adjustments

The Adjustment section displays any manual leave entitlement adjustments made for the selected leave type.

If adjustments already exist, you can:

  • View the adjustment details

  • Edit the adjustment

  • Delete the adjustment (if applicable)

❗ Note: If a leave adjustment has already been linked to a leave application, it cannot be deleted or fully modified.

To create a new adjustment:

  1. Click + Adjustment.

  2. Enter the adjustment details.

  3. Save the changes.


c. Actions

Within the entitlement details, you can also view information related to the employee's leave assignment, including Assigned leave scheme, Start date, Expiry date, Reset information, and Entitlement date:


Leave Summary

Alternatively, you can select the Leave Summary tab from the employee profile.

Before reviewing the information, ensure the correct year is selected.

The Leave Summary provides a complete overview of all leave types assigned to the employee in one place, including:

  • Leave balances

  • Leave taken

  • Remaining entitlement

  • Leave adjustments

If an adjustment has not yet been linked to a leave application, you may also edit or delete it directly from this page.


Method 2: Check Leave Entitlements from Leave Types

You can also review leave entitlements based on a specific leave type or leave scheme.

  1. Navigate to Leaves > Leave Types.

  2. Select the desired leave type.

  3. Click the relevant Leave Scheme.

  4. Select Employees.

You will see all employees assigned to that leave scheme.

From here, you can:

a. Add an expiry date by clicking Add Date under Expiry Date

b. Remove the leave scheme from an employee by clicking Remove

c. Filter employees by selecting a specific date range using the Calendar icon

This method is useful for reviewing employees assigned to the same leave policy.


Method 3: Generate a Leave Type Report

If you need to review leave entitlements for multiple employees at once, you can generate a Leave Type Report.

  1. Navigate to Reports.

  2. Select the Leave tab.

  3. Click the > button beside Leave Type.

  4. Select the reporting year.

  5. (Optional) Click + Add Filter to narrow down the report based on your requirements.

  6. Click Generate.

Once the report has been generated:

  1. Click the Notifications (bell) icon.

  2. Download the generated Excel report.

  3. The report includes useful information such as:

    • Employee details

    • Leave entitlement

    • Leave scheme

    • Start date

    • Days Remaining

    • Other leave assignment information
