This guide will walk you through the Attendance Requirement and Hour Calculation found under the Settings. It will include the following topics:

Attendance Requirement

Attendance Requirement is the Attendance settings that you can configure. Gutsy's attendance module has lots of functionalities and can be used in many ways, you have the ability as an Administrator to create several attendance settings and assign it to some specific employees. This guide will help you understand what options are available.

By default, there is a Default Attendance Requirement that you can review and edit. However, if you want to create a new Attendance Requirement, here’s the guideline.

How to Create a New Attendance Requirement:

  1. Head to Settings from the navigation bar

  2. Click Attendance Requirement under Attendance

  3. Click +Settings > Attendance Requirement

  4. Put the name of the Settings and fill out the required details

  5. Click Submit

How to Edit and Delete Attendance Requirement:

  1. Head to Settings from the navigation bar

  2. Click Attendance Requirement under Attendance

  3. Click the three dot icons

  4. To Edit it, click the pencil icon to change the details

  5. To Delete it, click the bin icon to delete

What’s included in the Attendance Requirement settings:

Attendance Requirement:

  • Clock In/Out Methods: Choose the allowed methods for employees to clock in — Mobile, Kiosk, or EiO (Chat/WhatsApp).

  • Require location tracking (GPS location) during check in/out: Ensures employees are within close proximity to the workplace when clocking in or out by using their smartphone's GPS function. You can require employee to be near or within outlet and also select an additional action if the location check fails.

  • Require employee to select an outlet when clock in/out: Employees must select a specific outlet during clock in/out. If no outlet is selected, their current address will be captured and shown in the attendance log.

  • Require employee to take a photo as evidence when clock in/out: Prompts employees to take a photo using their phone as visual proof of their presence at work.

  • Customise additional field(s): Allows Admins to add additional input fields that employees must fill out before clocking in. These fields can also be set as mandatory.

  • Minimum time before a repeated clock in or out is allowed (in minutes): Sets a buffer time between clock in/out actions to prevent accidental or duplicate entries (e.g., from taking multiple photos).

  • Maximum duration of an attendance log: Defines the maximum duration of a single attendance log, typically matching the length of a standard work shift.

Assign Employees:

You can assign specific employees to follow these Attendance Requirement settings.


Hour Calculation

Hour Calculation is included in the Settings for Attendance and can be customized to fit your needs. This guide will walk you through the available options.

By default, a predefined Hour Calculation is provided, which you can review and modify. If you prefer to set up a new Hour Calculation, follow the steps outlined below.

How to Create a New Hour Calculation:

  1. Head to Settings from the navigation bar

  2. Click Hour Calculation under Attendance

  3. Click +Settings > Hour Calculation

  4. Put the name of the Settings, choose the Assigned Company, and fill out the required details

  5. Click Submit

How to Edit and Hour Calculation:

  1. Head to Settings from the navigation bar

  2. Click Hour Calculation under Attendance

  3. Click the three dot icons

  4. To Edit it, click the pencil icon to change the details

  5. To Delete it, click the bin icon to delete

What’s included in the Hour Calculation settings:

Hour Calculation:

Clock-In and Clock-Out Adjustments:

This setting allows you to round clock-in and clock-out times based on defined intervals.

You can choose the rounding method (Round Off, Round Up, or Round Down) and specify the interval, ranging from 1 to 60 minutes.

Payroll Deduction

Enable this option to apply deductions when an employee is late for check-in or leaves early.

You can also define a grace period before a late arrival or early departure is considered for deduction.
