Attendance Settings

A guide to customising the attendance module to align with your company's operations and meet employee needs.

Before allowing the employee to clock in and out using the attendance feature in Gutsy, it is important to set up the Attendance setting according to your requirements.

This guide will walk you through the Attendance Requirement and Hour Calculation found under the Settings. It will include the following topics:


A. Attendance Requirement

Attendance Requirement is one of the configurable settings in Gutsy’s Attendance module. As an Admin, you can set up different requirements and assign them to specific employees.

By default, a Default Attendance Requirement is available for you to review and edit. If you’d like to create a new one, follow the steps below.


a. How to Create and set up the Attendance Requirement

  1. Go to the side navigation menu > click Settings

  2. Under Attendance tab > click Attendance Requirement

  3. Go to +Settings > Attendance Requirement. By default, the system provides a preset Attendance Requirement that you can edit directly. If needed, you can also create a new requirement by clicking the button as shown below.

  4. In this page under Attendance Requirement section, you will be able to see the fields that you need to fill in as follows:

    a. Setting name – Enter a unique name for this Attendance Requirement.

    b. Clock In/Out Methods – Choose the methods employees can use to clock in/out. If you’re using the Kiosk module, make sure to enable the Kiosk option so the setup becomes available.

    c. Require location tracking (GPS location) during check in/out – Decide if employees must be within close proximity to the workplace when clocking in/out using their smartphone’s GPS. You can also define what happens if the location check fails.

    d. Require employee to select an outlet when clock in/out – Turn this on if an outlet needs to be selected by employee when clocking in/out. If none is chosen, the system will capture their current address and show it in the attendance log.

    e. Require employee to take a photo as evidence when clock in/out – Prompt employees to take a live photo using their phone camera as evidence when clocking in/out. (Photos cannot be uploaded from the phone’s gallery.)

    f. Customise additional field(s) – Allow Admins to add additional input fields that employees must fill in before clocking in. These fields can also be set as mandatory if needed

    g. Minimum time before a repeated clock in or out is allowed (in minutes) – Set a buffer to prevent accidental or duplicate entries

    h. Maximum duration of an attendance log – Define the maximum length of a single attendance log, usually aligned with a standard shift time.

  5. Assign Employee

    You can define who is responsible for paying an employee’s attendance:

    1. Company of Employee’s Primary Profile (Default): Attendance is paid by the company listed in the employee’s primary profile.

    2. Outlet’s Paying Company: Attendance is paid by the company assigned to the outlet.

    ✏️Note: If the employee isn’t part of the outlet’s paying company or no outlet is selected, the attendance will default to the Company of Employee’s Primary Profile.

  6. Click Submit to save the settings.


b. How to Edit and Delete Attendance Requirement:

  1. Go to the side navigation menu > click Settings

  2. Under Attendance tab > click Attendance Requirement

  3. Click the three dot icons

  4. To Edit it, click the pencil icon to change the details

  5. To Delete it, click the bin icon to remove


B. Hour Calculation

Hour Calculation is part of the attendance settings and can be tailored to your company’s needs.

By default, the system provides a Default Hour Calculation that you can review and edit. If you’d like to create a new one, simply follow the steps below.


a. How to Create and set up the Hour Calculation:

  1. Go to the side navigation menu > Under Attendance tab > Click Hour Calculation

  2. Go to +Settings > Hour Calculation. By default, you’ll see the system’s predefined Hour Calculation, which you can edit directly. Alternatively, you can also create a new Hour Calculation by clicking the button as shown below.

  3. On the Hour Calculation page, you’ll find the following fields to set up:

    1. Setting name – Enter a unique name for this Hour Calculation.

    2. Assign company – Select the company this setting applies to.

    3. Clock in adjustment – Round clock-in times to defined intervals. Choose whether to round up, down, or off, and specify the interval.

    4. Clock out adjustment – Round clock-out times to defined intervals. Choose whether to round up, down, or off, and specify the interval.

    5. Clock in buffer time – Defines how much early time (before shift start) is ignored before overtime is counted in the system.

    6. Clock out buffer time – Defines how much extra time (after shift end) is ignored before overtime is counted in the system.

      Here’s a visual timeline showing how the clock in and clock out buffer zones work:

      • The orange zone is the grace buffer before the shift starts (no overtime).

      • The blue zone is the grace buffer after the shift ends (no overtime).

      • Anything outside these zones is the red overtime zone.

    7. Enable late clock in deduction – Deduct for late arrivals. You can set a grace period (leeway minutes) before it’s considered late.

      💡Scenario: The Admin sets a 10-minute grace period for late clock-ins. The official start time is 9:00 AM. As long as an employee clocks in between 9:00 AM and 9:10 AM, they are still considered on time.

      Any clock-in after 9:10 AM will be flagged as late and displayed in the Admin’s Attendance index page.

      Best Practice Tip: Set a grace period that balances fairness for employees with your business’s operational needs. For example, a short buffer (5–10 minutes) can reduce disputes over minor delays while still promoting punctuality.

    8. Enable early clock out deduction – Deduct for early departures. You can set a grace period (leeway minutes) before it’s considered early out.

      💡 Scenario: The Admin sets a 10-minute grace period for early clock-outs. The official end time is 6:00 PM. As long as an employee clocks out between 5:50 PM and 6:00 PM, it will not be flagged.

      Any clock-out before 5:50 PM will be marked as an early clock-out and displayed in the Admin’s Attendance index page.

      Best Practice Tip: Use a short grace period to account for minor situations (e.g., system lag, employees wrapping up tasks). However, ensure your policy is clearly communicated so employees don’t assume early departures are acceptable without approval.

    9. Enable overtime capping after (hours) – Limit the maximum overtime hours. Once the cap is reached, any extra time will not be counted as overtime.

  4. Click Submit to save the settings.


b. How to Edit and Hour Calculation:

  1. Go to the side navigation menu > click Settings

  2. Click Hour Calculation under Attendance

  3. Click the three dot icons

  4. To Edit it, click the pencil icon to change the details

  5. To Delete it, click the bin icon to remove


Great! Your attendance settings are now set up, and employees are ready to record their attendance based on your configuration.
