Step 1: Setting Up Outlets
Where to find it: Settings > Company Management > Outlets
Why it matters: It makes shift planning easier by automatically grouping employees by their assigned outlet in the schedule view. It also allows employees to select the correct outlet when checking in, based on the outlets you’ve set up.
What are the key features:
This outlet can also function as an attendance-taking kiosk, giving you the flexibility to streamline clock-in/out processes right at the workplace. Depending on your operational needs, you can choose from several clock-in methods to suit your environment and preferences:
Scan Barcode – Scanning of barcode on employee’s identity card
Facial Recognition – Scanning of an employee’s face using kiosk device (requires facial recognition setup)
Bluetooth Beacon – Clock attendance within kiosk device proximity (based on selected check-in radius)
Input Identity Number – Manually input employee’s identity number via kiosk device
This feature is especially useful for teams working on-site or in high-traffic locations, making attendance tracking faster, more secure, and hassle-free.

Step 2: Configuring the Pay Scheme
Where to find it: Settings > Employee > Pay Scheme Details
Why it matters: Having the pay scheme set up in advance makes onboarding new employees quicker and easier. It also helps define working hours, overtime, and holiday group policies, which are key for accurate pay calculations.
What are the key features:
a) Pay scheme details — whether the employee is on fixed days or flexible working days (shift-based).
b) Configure overtime policy and non-working days (only valid to Singapore Payroll module) — to enable automatic computation of OT pay.
c) Assign the appropriate holiday group — available in various locations such as Australia, Malaysia, Singapore and more.

Step 3: Setting Up Employee Profiles (Outlet, Pay Scheme, Permissions)
Where to find it: Employees > Select employee > Employment Details & Permissions
Why it matters: Assigning an outlet to employees is especially useful when setting up shifts, grouping, admin permissions, or generating reports. For clock-in/ and out, the system detects the outlet based on the user's GPS location. If manual outlet selection is required, all company-assigned outlets will be shown by default.
Even if payroll isn’t generated for a particular employee, assigning the correct pay scheme is important to keep their profile accurate and maintain consistency in attendance and hour records, as well as for accurate salary computation where applicable.
Additionally, enabling all Attendance and Shift permissions ensures employees can view their own schedules and attendance information.

Customise how employees clock in and out by selecting the preferred attendance methods and enabling the relevant options via toggles.

Assign employees to follow a specific attendance and salary payment arrangement. This is particularly useful for employees who might need to work in multiple outlets due to manpower and business needs.
(c) Hour Calculation Rules
Take control of how working hours are calculated. Configure automatic adjustments to clock-in/out times, apply deductions for late arrivals or early departures, and set an overtime cap to control labour costs.
These features are designed to help you tailor attendance tracking to match your company policies — ensuring fairness, consistency, and efficiency.

Step 5: Creating Shifts for Scheduled Employees
Where to find it: Shift Schedule > Plan the shifts
Why it matters: Creating and publishing shifts before employees start clocking in (for those under shift planning) ensures they know their work schedule in advance.
This feature enables creation of fixed (regular frequency) or open shifts (e.g., shift claiming for urgent manpower needs on the day itself) for better workforce planning and recording purposes.

Step 6: Generating Reports for Attendance & Shifts
Where to find it: Reports > Attendances; or Reports > Shifts
Why it matters: Generating reports provides Admins with detailed information on shifts and attendance. Receiving these reports as Excel files makes it easier to review and analyse the data compared to viewing it directly within the platform. This Excel report is downloadable and can also be shared with individuals who don’t have access to your Gutsy account.
